Customising DiveData

Click the New button to create a new subscription. If an Agency subscription has previously been selected then Dive Data 2000 assumes that you want to set up a new subscription for that agency, otherwise it assumes that you want to create a subscription for the current branch.

 

You can specify the following information about each subscription

Title: A name or description of the subscription. This is what appears in the tree view

Instalments: The number of instalments a year and the interval at which they are to be paid. The illustration shows a quarterly payment scheme – with four instalments at three month intervals. However the interval could be set to one month in which case instalments would be collected monthly for four months and then stop for the next eight months.

In most cases subscriptions are annual with the entire amount collected in a single payment but some branches use more exotic schemes such as two instalments a year (2 instalments, 6 monthly intervals), "half now and half next month" (2 instalments 1 month intervals), or monthly standing orders (12 instalments 1 month intervals)

In the case of standing orders there is no need to raise an invoice because the amount will be paid automatically. Clearing the Include on invoices checkbox ensures that invoices are not raised for such payments. Instead of marking the instalment paid when you receive the cash or cheque you will need to check the branch bank statements for payments.

Renewal Subscription: When the subscription is created the assumption is that the next years subscription will be the same as the first years subscription. If this is not the case, because an agency charges a joining fee, then you can edit the record and select a different follow-up subscription. For example, at the time of writing, the SSAC charge a £26 joining fee so a New Family Member is £81 whereas a renewing Family Member is £55.
